A well established, independent CERTIFIED FINANCIAL PLANNER™ firm of more than 20 years, affiliated with the largest independent broker/dealer in the United States, and located in Harahan, is seeking a part-time Administrative Assistant / Client Service Associate with a positive attitude and the highest level of integrity. This hourly position offers VERY flexible hours (guaranteed 16 hours per week), plus a health benefit, and retirement plan with match. The candidate will have the option to work more hours if desired.
DUTIES FOR THIS POSITION INCLUDE THE FOLLOWING:
• Answering and transferring phone calls, and sending emails
• Processing incoming mail, scanning and electronically storing documents, inputting data to create forms for clients to sign electronically, preparing various reports
• Submitting completed forms and documents for processing with external 3rd parties, and subsequently following up with those external 3rd parties to verify all items submitted have been fully completed
• Printing and assembling enrollment kit packets for 401(k) meetings
• Preparing materials for client appointments, and also offering clients beverages
• Hand addressing envelopes for birthday, holiday, anniversary, and sympathy cards to mail to clients
• Maintaining notes in the online contact management system of client activities, conversations and tasks completed
SKILLS AND ATTRIBUTES FOR THIS POSITION INCLUDE THE FOLLOWING:
• Maintaining an extremely high level of organization and ongoing attention to detail are critical requirements for success in this position. The highest level of attention to detail cannot be emphasized enough regarding the requirements for this position.
• The applicant must project a professional appearance and demeanor at work
• A courteous and optimistic persona are highly desirable, as this position requires direct contact and interaction with clients
• Writing in a clear and articulate manner is necessary, and using proper rules of grammar are extremely important, as this position requires direct contact with clients in writing
• The applicant should possess experience, comfort, and a working knowledge using the Microsoft suite of applications such as Excel, Word, and Outlook
ADVANCEMENT POTENTIAL:
Based on the current growth trend of the firm, it is expected that in approximately 15 - 18 months (by mid-2027), the firm will require an additional team member to serve as a Paraplanner and evolve into a Wealth Advisor position approximately 12 - 15 months later. An undergraduate college degree in business, preferably in finance or accounting, will be required for this advancement opportunity with a significant increase in compensation. Ultimately the Wealth Advisor will be expected to earn the CERTIFIED FINANCIAL PLANNER™ designation as well. The Administrative Assistant / Client Service Associate position is not required to seek this advancement track, but if there is a desire and the necessary qualifications are present, this future opportunity will be made available.
COMPENSATION AND BENEFITS:
The starting compensation for this position is $17 to $19 per hour, depending on the applicant's extent of prior experience and qualifications in the financial services industry. Annual reviews are conducted with appropriate pay increases, plus an annual bonus, provided the firm meets its growth targets, which it has historically and consistently accomplished. Additionally, the firm offers a health benefit and the opportunity to participate in the retirement plan with a company matching contribution.
The workload for this position will be at least 16 hours per week, and these hours will NOT be reduced below 16 hours, even during times when the workload is light. This is our commitment to the right candidate that joins the firm. The work schedule is VERY flexible. The applicant will be expected to work 4 days per week for 4 hours each day. The specific days to work and the start/end times between the normal business hours of 8:00 a.m. and 4:30 p.m. are entirely up to the candidate to choose, and the work schedule can be adjusted as needed anytime.
The office dress code is business casual, and the environment in the office is very relaxed and peaceful. This is NOT a high pressure, high activity CFP® practice. Prior financial industry experience is not required, as training will be provided for the right candidate. However, a positive attitude, pleasant demeanor, and strong work ethic are highly desirable!
